Fast photo editing for guides

The editing problem in a guiding operation is never the editing. It is the four hundred untouched files from June sitting behind the three hundred from July, and the fact that nobody is ever going to open either folder. A fast workflow is therefore not a set of adjustments, it is a set of decisions made in a fixed order, on a fixed day, with a hard stop. The technical facts that matter are few and they are worth knowing before you build the habit, because two of them decide how much quality you lose along the way and one of them decides whether anybody can open what you send. The pass, and how long each part gets

Why does the backlog happen?
Because culling and editing get done in the same sitting.
Culling is a fast, unemotional decision that can be made on a phone in a truck: keep or delete.
Editing is a slow decision that needs a screen and some attention.
Doing them together means the fast job waits for the slow one, and the slow one waits for a free evening that never arrives in July.
Split them and the backlog disappears, because the cull happens the same day and the edit happens to a folder of six pictures rather than four hundred.
The cull is also the part that decays fastest: a week later you no longer remember which frame was the moment.
So the rule is simple. Cull the same day, edit whenever, and never let the second block the first.

What does a cull actually involve?
One question, asked once per frame.
The question is whether this frame shows something no other frame shows, and the answer is usually no.
Three near-identical shots of the same fish are one picture and two files, and keeping all three is how a library becomes unusable.
Delete anything blurred, anything with a closed eye, anything where the horizon cannot be saved, and anything you kept because deleting felt wasteful.
What survives is typically four to six frames from a trip, which is a number you can actually work with.
Name the survivors with the date and the water while you are there, because a file name is the only label that travels with the picture.
Then back them up, since a cull is only useful if the survivors exist somewhere other than the phone.

What does re-saving cost you?
Quality, permanently, if the format is lossy.
The dominant photographic encoding is a family of codecs specified across international standards, covering both lossy and lossless compression in several modes of operation.
The lossy modes apply a mathematical transform to small blocks of the image and discard information, with typical settings producing file size reductions in the range of ten to one up to twenty to one.
That reduction is the point and it is also the trap, because what is discarded does not come back.
Editing a file, saving it, opening it again and saving it again compounds the loss, which is why a picture that has been through four rounds of touching up looks worse than the one that went through none.
The preservation description also notes that clarity is good considering the source data is limited to eight bits per channel, and that quality varies with the sophistication of the encoding and the degree of compression applied.
The practical rule is to keep the original untouched, edit from it, and export a copy, so that no file is ever saved twice.

Where the time actually goes. Count your trips in a month, then multiply by the four to six frames a cull leaves. That is the number of pictures your editing pass has to handle, and it is a fraction of what the phone holds. Now multiply that by half a minute, which is what a straighten, a crop and one exposure adjustment take once the habit exists. The result for most operations is under an hour a month, against a backlog that currently takes a weekend nobody gives it. The half a minute is an estimate of a practised pass rather than a measurement, and the frame count is whatever your own cull produces.

How many adjustments does a picture need?
Three, and a fourth occasionally.
Straighten first, because a level horizon is the difference between a photograph and a snapshot and no other adjustment hides it.
Crop second, tightening the frame and removing whatever is at the edges that you did not see on a moving boat.
Exposure third, usually a single slider, correcting for the water having fooled the metering.
The occasional fourth is warmth, since early and late light is genuinely warm and a phone sometimes removes what you liked about it.
Beyond those four, almost everything makes a picture worse in a way that is obvious to everybody except the person who did it.
Saturation is the specific trap: a guiding photograph with the colour pushed reads as false, and clients who fish elsewhere notice.

Which format should you export?
The one everything can open.
The registry of media types maintained for the internet lists dozens of registered still-image types, which is a useful reminder that a format existing is not the same as a format being readable.
That registry, last updated on 22 July 2026, is maintained under a formal registration procedure with designated experts and standards-tree requests reviewed by the relevant steering group.
Registration means a type is documented and identifiable, not that the phone in your client's pocket can display it.
Which is why the export decision should be made once, in favour of the most widely supported type, and then never revisited.
Export at a size large enough to print at a reasonable size and small enough to send by email, and use the same setting every time.
Consistency matters more than optimisation here, because a folder of files exported five different ways is a folder somebody has to think about.

Is there a standard worth borrowing?
There is, and it was written for archives.
Federal agencies publish technical guidelines for digitising cultural heritage materials, developed by a still image working group and revised through successive editions, most recently in a third edition developed in 2022 and 2023.
Nothing in that document is aimed at a fishing guide, and the useful borrowing is not a specification but a discipline: create a master file, keep it untouched, and derive everything else from it.
The same body publishes material on embedded metadata in still images, on file format comparisons, and on project planning for digitisation activities.
Read as an operator rather than an archivist, the lesson is that the people whose job is keeping images for a century separate the master from the copy without exception.
An operation doing the same thing keeps its options open for nothing, which is the cheapest insurance in this subject.
What that means in practice is one folder of originals you never touch and one folder of exports you regenerate whenever needed.

What about the metadata?
Keep it, and know what it says.
Every picture your phone takes carries information about when and often where it was taken, and that information travels with the file unless something strips it.
For a guide that is mostly useful, since it dates a picture you would otherwise have to guess at.
It is occasionally sensitive, because a precise location attached to a photograph published on a website tells everybody where you were standing.
Whether that matters depends entirely on your water, and it is a decision worth making deliberately rather than discovering.
Most publishing platforms strip it on upload, which solves the problem and also removes the date you wanted.
The workable position is to keep the metadata on your originals and accept whatever happens to the exports.

Should you use presets?
One, made by you, applied to nothing automatically.
A preset is a saved set of adjustments, and its value is consistency across a season rather than speed on a single frame.
Build one from a picture you got right, in the light you usually shoot in, and use it as a starting point rather than an answer.
The failure mode is applying it to everything, since a preset built for a bright flat destroys a picture taken in fog.
Bought presets are worse, because they were built for somebody else's light and their whole appeal is that they look like a decision was made.
Where a preset genuinely saves time is in export settings rather than in appearance, and that is worth setting up properly.

How much editing is too much?
The point where the picture stops being evidence.
A guide's photographs do a specific job, which is to show a stranger what a day looks like, and that job depends on the pictures being believable.
Removing a stray line from a frame is tidying. Changing the sky, deepening the water or making a fish larger is not, and a client who arrives expecting the edited version is a problem you created.
The test is whether the picture still describes the day accurately, and whether you would be comfortable explaining what you changed.
Anything failing that test should not go on a page next to a price.
This is also why heavy presets are risky: they change the whole frame in a way that is hard to describe and easy to notice.
Keep the pictures ordinary and true, and let the good days speak for themselves.

Where should the files actually live?
Two places, one of which is not a phone.
A guiding operation loses photographs the same way every time: the phone goes in the water, or fills up, or is replaced, and a season goes with it.
The fix is unglamorous and permanent. One copy in whatever cloud service your phone already uses, one copy somewhere that is not that service.
The second copy is the one people skip, and it is the one that matters, because a single service holding everything is a single point of failure.
Organise by year and month rather than by client, since you will always remember roughly when and rarely remember who.
Keep the trip name in the file name instead, which gives you the client information without a folder structure to maintain.
Check once a season that the backup actually contains what you think it does, by opening something old at random.
A backup nobody has ever restored from is a hope rather than a backup, which is a lesson people learn once.
What about older pictures you never sorted?
Leave most of them, and rescue a handful.
The instinct on adopting a new habit is to go back and fix the archive, which is a project that takes a winter and produces almost nothing.
The proportionate version is to spend one evening pulling out the twenty best pictures from everything you already have, and to leave the rest exactly where it is.
Twenty good frames is more than a website needs and more than most operations currently have accessible.
Edit those twenty properly, export them consistently, and treat that folder as your working set for everything public.
The remaining thousands stay untouched and unlabelled, which costs you nothing because they were never going to be used anyway.
If a specific old picture is ever needed, you can find it then, and that search is cheaper than the sorting project.
Start the new habit from the next trip rather than from the backlog, since a habit that begins with a chore does not begin.

Does any of this need paid software?

Straightening, cropping and adjusting exposure are available in the software already on the phone, and they are the same operations in every application.
What paid software buys is batch processing, non-destructive editing that never touches the original, and a catalogue that finds a picture from three years ago.
The first two matter to an operation shooting a great deal, and the third matters to one that has been shooting for years.
Neither is required to stop having a backlog, which is the actual problem for most guides.
So the honest sequence is to establish the habit with what you have, then buy something if the habit outgrows it.
Buying first produces an expensive application nobody opens, alongside the same four hundred unsorted files.
The rule generalises: solve the discipline before solving the tooling, because the tooling never fixes the discipline.

What surprises operators here?
That re-saving costs quality every time.
Most people assume a file is a file, and the format description makes clear that the common lossy modes discard information at ratios that typically run from ten to one up to twenty to one.
The second surprise is that eight bits per channel is the ceiling the encoding works within, which is why heavy adjustment shows so quickly.
The third is that dozens of still-image types are formally registered, and that registration says nothing about whether anybody can open them.
The fourth is that the archival guidance boils down to one habit an operator can copy for free: keep the master, derive the rest.
The fifth is how short the honest adjustment list is, at three or four moves.
