The Off-Day Maintenance Routine

An aircraft used privately needs an inspection every twelve months. The same aircraft carrying any person other than a crewmember for hire needs one every hundred hours of time in service. Same machine, same owner, different rule, and the thing that changes it is the paying passenger.
That distinction is the whole of what follows. A boat used on weekends and a boat carrying clients for money are not the same boat, whatever the hull says, and the maintenance interval that suits the first is not defensible on the second. The aviation rules and the motor carrier rules both draw the line in the same place and both attach a written record to it. Neither reaches a guide. What they supply is a shape. What changes when a passenger pays?
The interval, by roughly an order of magnitude.
Section 91.409(a) of Title 14 prohibits operating an aircraft unless within the preceding twelve calendar months it has had an annual inspection and been approved for return to service.
Section 91.409(b) then prohibits operating an aircraft carrying any person other than a crewmember for hire, or giving flight instruction for hire in an aircraft the instructor provides, unless within the preceding one hundred hours of time in service it has received an annual or hundred-hour inspection and been approved for return to service.
The same paragraph allows the hundred-hour limitation to be exceeded by not more than ten hours while en route to reach a place where the inspection can be done, and requires the excess to be included in computing the next hundred hours.
That last detail is the one that shows the drafting is serious: the relief exists, it is bounded, and it is repaid.

What does the daily report look like?
Eleven named items, at the end of each day, in writing.
Section 396.11(a)(1) of Title 49 requires every driver to prepare a report in writing at the completion of each day's work on each vehicle operated, covering at least service brakes including trailer brake connections, parking brake, steering mechanism, lighting devices and reflectors, tyres, horn, windscreen wipers, rear vision mirrors, coupling devices, wheels and rims, and emergency equipment.
The report must identify the vehicle and list any defect or deficiency discovered by or reported to the driver which would affect the safety of operation or result in mechanical breakdown, and the driver must sign it.
Paragraph (a)(2)(i) adds that a driver is not required to prepare a report where no defect or deficiency is discovered, which is a sensible piece of drafting that keeps the paperwork proportionate.
Paragraph (a)(3) requires the carrier to repair any listed defect likely to affect safe operation before the vehicle is used again, and to certify on the report that the defect has been repaired or that repair is unnecessary.
Paragraph (a)(4) requires the report, the certification of repairs and the certification of the driver's review to be kept for three months.

What the routine costs against what it saves. Four minutes before each trip and two minutes after, across a hundred days, is ten hours a season. One cancelled day for a mechanical failure discovered at the ramp costs a $700 refund, the client's travel and the reputation, plus whatever the repair costs at short notice. On stated assumptions, the routine pays for itself if it prevents one cancellation every seven seasons, and anybody who has run a boat knows the real rate is far higher than that. Every figure here is a stated assumption.

Why is the after-report separate from the before-check?
Because they answer different questions.
The before-check asks whether it is safe to use today, and it is answered by the person about to use it.
The after-report asks what happened today, and its value is entirely in the future, for whoever uses the boat next.
Guides collapse the two into a single glance at the trailer and lose most of the value, because a fault noticed at the end of a long day is forgotten by the following morning.
Which is exactly the failure the written report exists to prevent, and it is why the requirement attaches to the completion of the day rather than to the start of it.
The regulatory structure makes it explicit by requiring the next user to review the previous report, so the information actually moves between days.

These intervals are not yours. 14 CFR 91.409 governs aircraft inspections. 49 CFR part 396 covers inspection, repair and maintenance under the federal motor carrier scheme, and it carves out several categories outright, among them a private motor carrier of passengers operating on a nonbusiness basis. Whether any part of part 396 reaches your truck and trailer depends on weight rating, interstate operation and the nature of the business, and that question deserves a real answer rather than an assumption. What goes on the off-day list?
The things that only fail once, and the things that fail slowly.
Anchor systems, oar locks and pins, trailer bearings, lights and straps, all of which are cheap to check and expensive to discover at speed.
Rope and webbing, which degrade invisibly and predictably, and which nobody replaces on a schedule because they look fine right up until they do not.
The throw bag, repacked rather than glanced at, because a bag that was used and stuffed back in is a bag that will not deploy.
First aid supplies, checked against a list and against expiry dates rather than by opening the lid.
Life jackets, inspected individually for buckles, stitching and inflation systems where fitted.
And the engine or the hull, on whatever interval the manufacturer specifies rather than whatever feels sufficient.

How often is often enough?

What does the before-check actually contain?
Six things, in the same order, taking four minutes.
Trailer lights and coupling, checked with somebody watching or with the tailgate reflection, because this is the item that strands you.
Tyres and pressures on the trailer, which fail more often than the tow vehicle's and get looked at less.
Straps, both of them, because one strap is not a system.
Drain plug, which needs no explanation to anybody who has forgotten it once.
Safety equipment aboard and accessible rather than merely present, meaning the throw bag reachable from the rowing seat.
And yesterday's note, read, which is the step that connects the two documents.
Same order every time is what makes it survive, since a list performed in a different order each day is a list with holes in it.

What should happen the night before a run?
Everything that could be discovered late, discovered early.
The failures that cost a day are almost never sudden; they are things that were visible the previous evening and were not looked at.
Which makes the evening before a block of trips the highest-value half hour in the whole routine, because at that point a fault is an errand and by six the next morning it is a cancellation.
The list is short: fuel, ice, the trailer, the straps and the first aid kit, plus whatever yesterday's note flagged.
Doing it in daylight is the operative constraint, since a trailer inspected by phone torch is a trailer that has been glanced at rather than checked.
The related habit worth building is keeping the boat loaded and ready rather than unloading it between trips, which removes an entire category of forgotten item.
Where the run is long enough that gear will need replenishing mid-block, that gets staged before the block starts rather than sourced on an evening.
What breaks most often?
Small consumables, and they are the ones with no schedule.
Bearings and engines are the failures guides worry about and they are comparatively rare, since both are maintained and both give warning.
What actually stops days is smaller: a strap that frayed, a trailer light that corroded, a bilge pump that seized, a pin that walked out.
All of which cost a few dollars, all of which are stocked at any hardware shop, and none of which are on anybody's list because they are too trivial to plan for.
The fix is a spares box that lives in the truck permanently, holding a second strap, a spare set of pins, bulbs, fuses, hose clamps and tape.
Assembled once for under a hundred dollars, it converts most of these from a cancelled day into a ten-minute delay.
Restocking it is itself an off-day task, since a spares box that has been raided and not refilled is worse than none because it produces false confidence.
Does the off day have to be a whole day?
No, and treating it as one is why it never happens.
The mental model of a maintenance day as a full day of work in a shed all but ensures it gets postponed until something forces it.
Broken into its parts, most of the routine is twenty-minute jobs that fit into a morning before a late trip or an evening after an early one.
What genuinely needs a block of time is the seasonal work, being the engine service, the hull inspection and the trailer bearings, and that is two or three days a year rather than a recurring commitment.
Everything else is a rolling series of small tasks, which suits the actual shape of a season far better than a monthly ritual nobody keeps.
The scheduling trick that works is attaching each task to a trigger rather than to a date: bearings at the season start, straps every twenty-five days, the throw bag after every use.
Triggers survive a busy July and calendars do not.
What about the gear the client touches?
It has a shorter life than you think and a visible one.
Rods, reels, waders and boots used by clients take more punishment in a season than personal gear takes in five, and they are also the most visible signal of how the operation is run.
A client handed a reel with a grinding drag or boots with a failed sole has learned something about the business before the day starts.
Which means client gear needs replacing on a rotation rather than on failure, and the rotation is faster than instinct suggests.
Cork grips, guide wraps and fly lines are the three that degrade visibly and cheaply, and refreshing them is the highest-return cosmetic spend available.
Keeping the newest gear for clients rather than for yourself is the correct allocation and the opposite of what most guides do.
Where a piece of gear is retired, retiring it properly rather than leaving it in the rotation is the discipline, since a marginal reel always ends up in somebody's hands on a busy morning.
What the client-facing kit is worth is examined by the cooler and food piece.
Who should do the work?
You for the checks, somebody else for most of the repairs.
The checking is not delegable in any useful sense, since the person who is about to use the boat is the person who should have satisfied themselves about it.
The repairs mostly are, and guides lose a great deal of an off-season to work a mechanic would do faster and better.
The test is whether you would trust your own work under load with clients aboard, and the honest answer for bearings, welds and engines is usually no.
Where the answer is yes, doing it yourself is cheaper and builds the knowledge that makes the checks meaningful.
What is worth learning regardless is diagnosis rather than repair, since knowing what is wrong is what stops a small fault becoming a cancelled day.

What about the tow vehicle?
It is the part most likely to end a season and it gets the least attention.
The boat is the interesting object and the truck is the one that does the miles, carries the weight and fails on the highway.
The eleven items in the driver report are a ready-made list for it, and going down them once a month takes ten minutes.
Brakes and coupling devices are the two that matter most with a trailer behind, and they are the two that degrade fastest under load.
Where the operation crosses state lines or the combination exceeds a weight threshold, a real regulatory question arises about whether commercial rules apply, and that is worth resolving properly rather than assuming.
The insurance position is a separate question again and depends on how the vehicle is used rather than how it is registered.

What gets recorded?
Defects only, plus the date and the hours.
The regulation's approach is worth copying exactly: a report is required where a defect was found and not required where nothing was.
Which keeps the record short enough to survive a season and makes every entry meaningful, since an entry means something happened.
The date and the running count of trip days go in regardless, because that is what makes the hours-based interval work.
Where a defect is fixed, note that too, since a list of unresolved faults is the only thing worse than no list.
Three months of retention is the regulatory figure and a season is the sensible one for a boat, because the pattern across a season is the informative thing.
